Use the tracker as one place to follow each vendor from early research through booking, contracts and final payments. Add a company or professional, choose the right category and status, then keep that same record current as your plans change.
Your Wedding Budget is optional context for the full celebration, while Vendor Budget is the amount you plan to reserve for vendors. The tracker keeps booked commitments and recorded payments separate so you can see both clearly.
Create one record for each vendor you are considering. Keep the category, contact details, quote, website, status and notes together instead of scattering research across tabs, emails and messages.
Add multiple candidates in the same category and compare more than price. Look at inclusions, hours, travel fees, availability, communication and contract stage before making a decision.
Once you book a vendor, update the total cost, amount paid, next payment date and contract status. Keep practical wedding-day details in the same record as they become available.
Each number answers a different planning question. Keeping them separate makes it easier to see what you planned, what you committed to and what has actually been paid.
Optional context for the wedding as a whole.
The amount you want available for vendor spending.
The combined total cost entered for vendors marked Booked.
Payments recorded for vendors currently marked Booked.
Vendor Budget Progress compares Paid to Vendors with your Vendor Budget. If the Vendor Budget is $20,000 and you have recorded $5,000 in payments to booked vendors, the progress shown is 25%.
Your list depends on your venue, location, guest count, wedding style and the services already included in your packages. Common categories include a venue, planner or coordinator, officiant, photographer, videographer, caterer, bar service, bakery, florist, entertainment, beauty, attire, rentals, decor, lighting and transportation.
The tracker also includes services that are easier to overlook, including childcare, pet attendants, security, event staff, setup and cleanup, accommodations, shuttles, wedding insurance and travel planning. Use only the categories that actually apply to your wedding.
There is no single booking schedule that works for every wedding. Vendors with limited date availability or a major effect on later decisions generally deserve attention first.
Your venue, planner, photographer, caterer and entertainment may become early priorities, but the right order depends on your date, location and what is already included. On a shorter timeline, focus on real availability rather than trying to follow a generic deadline.
Compare the complete offer, not just the headline price. Review what each quote includes, the scope of service, hours, travel or additional fees, availability, communication and contract status.
Use Compare Quotes for the financial side-by-side view, then keep package details and the differences that matter to you inside each vendor record.
Contract Status and Contract Date work as quick planning reminders, helping you see which agreements have not been requested, received, reviewed or signed without searching through every email.
Review the actual agreement for scope, hours, deliverables, payment terms, cancellation, overtime, travel, setup, insurance and any other terms that apply. The tracker is an organizational tool and does not provide legal advice.
As the wedding gets closer, keep each booked vendor record current with the primary contact, phone number, website, remaining balance and next payment date.
Notes are also useful for practical details such as arrival or setup time, pickup instructions, parking information, vendor meals and a day-of contact. Search and filters help you find the right record quickly, while vendors you decide not to use can stay available for reference without being included in active totals.

A wedding vendor tracker organizes the professionals and companies involved in your wedding in one place. This tool keeps categories, contact details, quotes, booking status, payments, balances, contract status and notes connected to each vendor.
Use the Status filter to separate vendors you are researching, contacting, comparing or shortlisting from vendors you have already booked. If you decide not to use a vendor, the eye control lets you keep the record for reference without treating it as active.
Yes. Add multiple candidates under the same category and use Compare Quotes to review costs, payments, balances and contract status side by side. Use Notes for package details, availability, travel fees and other differences that matter to your decision.
Vendor Budget Progress compares the amount recorded as paid to vendors marked Booked with your optional Vendor Budget. Booked Vendor Total is shown separately because it represents the full cost you have committed to booked vendors, including amounts that may still be unpaid.
Enter each vendor's total quote or cost and keep Amount Paid current as payments are made. The tracker calculates the remaining balance automatically, and you can save an optional Next Payment Due date for the next scheduled deadline.
When browser storage is available, the tracker is saved locally in the browser you are using. It is not an account-based cloud backup. Use Export Backup (JSON) before switching browsers or devices, then Import Backup (JSON) when you need to restore your data.
