Choose the starting point that matches where you are in planning. You can begin with a total budget you already know, create a broad starting estimate from your guest count and celebration level, or start with a budget and immediately track real spending.

What the Main Budget Numbers Mean

The calculator keeps planning numbers and real spending separate. That distinction helps you see what you intended to spend, what you have committed to and how much has actually left your account.

Total Budget Your overall spending limit

The total amount entered by you or created by Estimate mode as the starting budget for the plan.

Planned What has been allocated

The combined amount currently assigned across wedding categories, including the protected contingency reserve.

Committed Quotes and actual costs entered

The total of the Quoted / Actual amounts you have added to the spending tracker.

Paid Money already paid

The combined payments you have recorded across the categories you are actively tracking.

Remaining is calculated from your total budget minus the committed amounts currently entered. Contingency Reserve is shown separately so you can keep that planning buffer visible instead of accidentally allocating it twice.

How the Wedding Budget Is Built

The calculator starts with a category allocation, sets aside your selected contingency percentage and distributes the spendable portion of the budget across the remaining wedding categories.

If you select priorities, more weight is given to those areas and the other categories are proportionally rebalanced. Venue Setup and Planning Support can also adjust the starting mix before the percentages are normalized back to the available budget.

The first allocation is only a starting point.

You can edit every regular category after the budget is generated. Real quotes, contracts and actual wedding needs should replace generic starting assumptions as planning progresses.

Priorities

Use Priorities to Reflect What Matters to You

The calculator lets you choose up to three priorities. Selecting one does not add money to the total budget; it shifts more of the existing spendable amount toward that area and rebalances the rest.

Treat this as a way to shape the first draft rather than a recommendation about what your wedding should value. You can still change any category manually afterward.

Guest count

How Guest Count Affects the Calculator

Guest count is required when you use the starting-budget estimate and optional when you already know your total budget. It is also used to show the variable spending represented in the plan on a per-guest basis.

The Test a Scenario feature lets you compare a different guest count without replacing the original plan. The tool does not assume that every wedding expense changes when the guest list changes.

Contingency

Keep a Separate Buffer for Costs That Are Still Uncertain

Your selected contingency is removed from the spendable amount before the regular category allocation is built. That reserve remains visible as its own protected line in the budget.

The calculator also includes a Common Costs to Double-Check section for items such as taxes and service charges, gratuities, delivery and setup, attire alterations, overtime and ceremony-related fees.

A contingency is a planning buffer, not extra spending money.

Keep it available until you have enough confirmed quotes and contract details to know whether those less-visible costs are already covered elsewhere.

As planning progresses

Turn the Budget Into a Spending Tracker

Once you begin receiving real prices, use Track Spending to add a Quoted / Actual amount, deposit, amount paid and optional due date only where you need them. The calculator keeps those values alongside the original planned amount so you can see whether a category is still on track.

Categories with upcoming unpaid balances can appear in the next-30-days payment section. You can also test a scenario without changing the original plan, export the current budget as an Excel report or print the page and save it as a PDF.

What should be included in a wedding budget?

Include the categories that actually apply to your wedding and leave room for costs that may not appear clearly in the first quote. The calculator includes a broad category plan plus a separate contingency reserve and a checklist of commonly overlooked costs. If a category does not apply, you can change its planned amount and redistribute the money elsewhere.

Are the suggested wedding budget percentages fixed?

No. They are starting allocations created so the budget has a usable structure immediately. Your priorities, venue setup and planning support can change that starting mix, and every regular planned category can be edited after the budget is generated.

What is the difference between Planned, Committed and Paid?

Planned is the amount currently assigned to a category. Committed is based on the Quoted / Actual costs you have entered across tracked categories. Paid is the amount you have recorded as already paid. A vendor can therefore be fully committed in the budget while part of that cost is still unpaid.

How does guest count affect my wedding budget?

The tool treats some categories as more guest-dependent than others rather than assuming the entire wedding budget changes with head count. Guest count is also used by Estimate mode and by the scenario feature. When you receive real venue, catering, bar or rental pricing, use those confirmed numbers instead of relying only on the calculator's planning estimate.

What happens if a category goes over its planned amount?

The calculator keeps the overage visible instead of automatically hiding it. You can increase that category and reduce another, revise the overall plan or decide whether part of the contingency should eventually cover the difference. The Budget Breakdown also warns when the total planned allocation no longer matches the total budget.

Where is my Wedding Budget Calculator saved?

When local storage is available, the calculator saves your budget in the browser you are currently using. It is not an account-based cloud backup, so clearing browser data, using private browsing or changing devices can affect access to the saved information. You can also export the budget as an Excel report or use Print / Save as PDF for a separate copy.
