Build your guest list around real invitation groups instead of treating every person as a completely separate record. Couples, families and individual invitees can share one household while each guest keeps their own RSVP, plus-one, meal, dietary and seating information.
Start with the details you know today. Names and household groups may be enough early in planning; addresses, invitation status, responses, meals and table assignments can be added as those decisions become relevant.
Group people who share an invitation and mailing information. A household can represent a couple, family, individual guest or another invitation unit without duplicating shared contact details.
Keep RSVP status, adult or child status, plus-one details, meal choice, dietary needs, allergies and table assignment connected to the individual person.
Use search and filters to find unanswered invitations, follow-ups, allergies, plus-ones or guests without tables, then export a copy when you need the list outside the browser.
Keeping shared invitation data separate from individual response data prevents one household from being forced into a single RSVP outcome.
Use the household for shared mailing information, category and invitation status.
Each person keeps their own RSVP and attendance details even when several people share one invitation.
Meal choice, dietary needs and specific allergy information are tracked independently.
Table assignments belong to individual attendees rather than the household as a whole.
Early in planning, names, household grouping, guest group and priority may be all you need. You do not have to collect every address, meal selection or table assignment before those details become useful.
As invitations go out, mailing information and invitation status become more important. After replies begin arriving, RSVP status, plus-ones, meals, dietary needs and seating move to the front of the workflow.
Invitation status belongs to the household because one invitation can cover several people. RSVP status belongs to each individual guest because people inside the same household can respond differently.
That separation lets one guest accept while another declines without creating conflicting information for the invitation itself.
When a guest has been offered a plus-one but has not provided a name, use Offered — Name Unknown rather than creating a permanent placeholder person.
Once the name is confirmed, add the plus-one as an individual guest inside the same household so their RSVP, meal, dietary and seating details belong to the actual person.
A meal selection does not always describe a dietary restriction. Someone may choose a standard entrée while also having an allergy, or choose a vegetarian meal without having a medical or safety-related restriction.
Keeping those fields separate makes the final list more useful when you review information for your venue or caterer.
Before submitting final food information, use the Dietary Needs and Allergies filters and confirm any requirements directly with the venue or catering team responsible for food preparation and service.
Your guest list becomes more useful as responses stabilize. Accepted guests can form the working attendance list for seating and can also provide a more realistic headcount for budget planning.
Table assignment is stored at the individual guest level, and the tracker can help surface accepted guests who still do not have a table assigned.
The tracker calculates the current accepted guest count and can pass that number to the EVORÉ Wedding Budget Calculator when you are ready to plan around attendance.
If your guest list already exists in Excel, Numbers or Google Sheets, you can upload an Excel or CSV file or paste spreadsheet rows directly into the tracker.
Review the preview before confirming the import. Afterward, check possible duplicates and household grouping so couples and families are not unintentionally split into separate invitation records.
The tracker does not require an EVORÉ account or create a public guest page. When browser storage is available, your working guest list is stored locally in that browser.
Local browser storage is not a cloud backup. Export or download a backup before clearing browser data, changing devices or making other changes that could remove locally stored information.
The Vendor / Staff category can be used for planners, photographers, DJs, catering staff or other contracted wedding professionals you want visible in the master list.
They remain available for planning reference without increasing the invited-guest RSVP totals used for your wedding attendance counts.
