How it works

How to Use the Wedding Seating Chart Tool

Start with the guest list you have today, create the tables your venue will actually use and begin assigning guests as RSVPs are confirmed. You can keep the plan simple with table assignments or go further and choose an exact seat for each guest.

If you already know the reception room dimensions, add them and build the physical layout too. If you do not, start with guests and tables first, then refine the floor plan when your venue provides the final room details.

01

Set up the room

Enter the reception room width and length when you know them. Exact dimensions are optional, so you can begin planning even before the venue sends a final floor plan.

02

Add your tables

Choose the table shapes your venue will use, give each one a clear name or number and adjust its planning capacity to match the confirmed setup.

03

Bring in your guests

Add guests individually, paste names, upload a CSV or import from an EVORÉ guest list. Keep households, groups and private planning notes connected to each person.

04

Assign tables or seats

Drag guests into tables or use the assignment controls. Stop at table assignments when that is enough, or place guests into individual seat positions for a more detailed plan.

05

Review & export

Check table capacity and seating notes, then print the floor plan, create guest lists by table or alphabetically, export assignments or download a backup of the plan.

Room layout

Plan More Than Just the Tables

A useful reception layout includes the major elements that affect where tables can sit and how people move through the room. Build only as much detail as you need, then refine it as venue information becomes final.

Room dimensions Create the planning area

Add the width and length of the reception space when those measurements are available.

Venue elements Place the objects that matter

Add a dance floor, bar, buffet, DJ or band area, cake table, entrances, columns and other relevant room elements.

Table capacity Use confirmed capacities

Table capacity can vary with size, chairs, place settings and service style, so the value remains editable.

Seating checks Review what needs attention

The planner can flag arrangements for review without making social or accessibility decisions on your behalf.

Use the floor plan as a planning reference.

Room dimensions, object sizes and suggested table capacities do not replace venue requirements. Confirm final aisle widths, exits, service paths, table capacities and applicable safety requirements with your venue, rental company or planner.

Table vs. chair

Assigned Tables vs. Assigned Seats

Many weddings only need assigned tables. Guests know which table to join, then choose an available chair when they arrive. This is usually simpler to create and easier to adjust when plans change.

Assigned seats add another level of detail by giving each guest a specific chair. The Seating Chart Tool supports both approaches, so you can stop at table assignments or arrange exact seat positions when placement matters.

Grouping guests

How to Group Wedding Guests

Households, family groups, wedding-party roles and existing friendships can help you decide where to begin, but they should remain planning clues rather than automatic seating rules.

Keep-together, keep-apart and seating-needs notes are private reminders. They help you review the arrangement while leaving the actual social decisions to you.

Special tables

Head Table vs. Sweetheart Table

A sweetheart table is typically a smaller table for the couple, while a head table usually seats the couple with selected members of the wedding party or family.

The planner also supports long, rectangular, square and other table layouts, so the seating chart can reflect the format your reception actually uses.

Guest list

Bring Your Guest List Into the Seating Plan

You do not have to enter every guest manually. Add individual guests when that is easiest, paste names directly, upload a CSV or paste rows copied from Excel, Numbers or Google Sheets.

The import preview lets you review the rows before they are added. If you are already using the EVORÉ Guest List, the seating planner also includes an option to bring that list into the tool.

Desktop & mobile

Plan on the Screen You Have

Dragging tables, room elements and guests is especially convenient on a larger screen, but the core seating workflow does not depend on drag-and-drop alone.

On smaller screens, you can use tap-based controls to assign guests and choose individual seat positions. That means you can make quick changes from your phone without rebuilding the plan later on desktop.

Frequently asked questions

Wedding Seating Chart Tool FAQ

Quick answers about guest lists, tables, exact seats, capacity, mobile planning and spreadsheet imports.

Do I need a final guest list before I start?

No. You can create the room and tables before every RSVP is final, then add or update guests as responses are confirmed. Treat the seating chart as a working plan until the guest list is stable.

Can I create my own tables and room layout?

Yes. You can add round, rectangular, square, long, sweetheart and head tables, position them in the room and add reception elements such as the dance floor, bar, buffet, DJ or band area, cake table, entrances and custom blocks.

Can I assign exact seats around a table?

Yes. You can assign guests to a table and then place them into individual seat positions. If exact seats are unnecessary for your wedding, you can simply use table assignments instead.

Can I use the Wedding Seating Chart Tool on my phone?

Yes. Dragging is especially convenient on desktop, while mobile includes tap-based controls for the main planning actions, including assigning guests and choosing seat positions.

What happens if a table goes over capacity?

The planner flags the table for review. You can keep the arrangement if you intentionally override the planning capacity, but the venue or rental company's confirmed table capacity should be your final reference.

Can I import guests from a spreadsheet?

Yes. You can upload a CSV or paste rows copied from Excel, Numbers or Google Sheets. The tool shows a preview before the guests are added so you can review the information first.
