How to Use the Wedding Alcohol Calculator

Start with your total guest count and the number of children, sober guests or other non-drinkers. Then choose the reception length, season, bar type and the drinking style that most closely matches your crowd.

The calculator turns those choices into estimated quantities for beer, wine and spirits when they apply, then adds water, soft drinks and ice. You can also include a champagne toast, mocktail station and coffee and tea before creating your shopping list.

Count drinking guests

Enter everyone attending, then separate children, sober guests and anyone else who will not drink alcohol. Alcohol quantities should be based on drinking guests rather than the full head count.

Choose the reception length, climate, bar type and drinking style. These settings determine the starting number of drinks and how that total is distributed between beer, wine and spirits.

What the Calculator Is Actually Calculating

The result is a planning estimate built from a defined set of assumptions. Knowing those assumptions makes it easier to decide whether the recommendation fits your particular guest list.

Drinking Guests Total guests minus non-drinkers

Children, sober guests and other non-drinkers should be entered separately so they are not included in the alcoholic-drink baseline.

Base Drinks Two in hour one, then one per additional hour

A four-hour reception therefore starts from five drinks per drinking guest before the drinking-style adjustment is applied.

Drinking Style Light 0.75× · Moderate 1× · Lively 1.25×

This setting lowers or raises the calculator's baseline to better reflect the crowd you expect.

Bar Mix The total is divided by your bar setup

A full bar, beer-and-wine bar and limited bar each use a different allocation between beer, wine and spirits.

Season does not replace the base consumption formula. In the calculator, hot summer conditions affect selected purchasing quantities such as beer, the wine mix, water, sparkling water and ice.

These conversions are planning assumptions inside the calculator, not guaranteed yields. Pour size, glassware, bartender technique and beverage format can change the actual number of servings.

Bar setup

How Bar Type Changes the Estimate

For a Full Open Bar, the calculator allocates 20% of its alcoholic-drink estimate to beer, 50% to wine and 30% to spirits.

Beer & Wine Only uses a 40% beer and 60% wine split. Limited Bar uses 25% beer, 50% wine and 25% spirits. A dry wedding does not require beer, wine or spirits.

Season & climate

How Summer Changes the Shopping List

Selecting Summer (hot) tells the calculator to plan for additional beer as well as more still water, sparkling water and ice.

It also shifts the wine allocation toward white wine and away from red. Treat this as a climate adjustment rather than a prediction of exactly what your guests will choose.

Beyond alcohol

Plan for Water, Mocktails and Other Drinks Too

A complete bar plan needs more than alcohol. The calculator estimates still water, sparkling water, soft drinks and ice for the full guest count, not only for guests who drink alcohol.

Optional settings add mocktail servings and coffee and tea. These quantities should still be adjusted for your menu, venue, weather and what other beverages your caterer already provides.

Adding a champagne toast?

The toast is calculated separately from the regular wine allocation at one 750ml bottle for every six guests. If sparkling wine will also be served throughout the reception, discuss that additional quantity with your bar provider.

Confirm the Final Bar Plan With Your Venue or Caterer

Use the calculator as a shopping and conversation starting point. Actual consumption can change significantly with guest preferences, reception timing, food service, weather and how long the bar remains open.

Your venue, caterer or bar service may also have its own beverage packages, bottle sizes, pouring standards and alcohol-service rules. Confirm those details before purchasing large quantities yourself.

How does the Wedding Alcohol Calculator estimate drinks?

The calculator starts with drinking guests and uses two drinks per person for the first hour plus one drink for every additional reception hour. It then applies the selected drinking-style multiplier and divides the result between beer, wine and spirits according to the bar type you choose.

How many drinks per person does the calculator use?

With Moderate selected, a three-hour reception starts from four drinks per drinking guest, four hours starts from five, and five hours starts from six. Light Drinkers reduces that baseline to 75%, while Lively / Heavy increases it to 125%. These are planning assumptions rather than predictions of individual consumption.

How does the bar type change what I need to buy?

Full Open Bar uses a 20% beer, 50% wine and 30% spirits allocation. Beer & Wine Only uses 40% beer and 60% wine. Limited Bar uses 25% beer, 50% wine and 25% spirits. The calculator then converts those drink estimates into approximate purchasing quantities.

How much champagne do I need for a wedding toast?

When Champagne Toast is selected, the calculator uses one 750ml bottle for every six guests. That means 100 guests produces an estimate of 17 bottles. This toast quantity is calculated separately from the regular wine allocation.

How much ice does the calculator estimate?

The calculator currently uses approximately 1.5 pounds of ice per guest for spring, fall and winter and 2.5 pounds per guest when Summer (hot) is selected. The result is intended to cover serving and chilling together, but your venue or bartender may use a different quantity.

Does the calculator include non-alcoholic drinks?

Yes. The shopping estimate includes still water, sparkling water and soft drinks, and you can optionally add mocktail servings and coffee and tea. These are separate from the alcoholic-drink mix so you can plan for guests who are not drinking as well as hydration throughout the reception.
